Before you post a job ad, you need to be crystal clear on what this person will actually do. Vague job descriptions lead to misaligned expectations, frustration, and turnover. Break the role into three distinct "buckets" so both you and your hire know exactly what success looks like.

📋 The Three Buckets

Every real estate admin role, regardless of how it's titled, boils down to three categories of work. Some admins will do all three; others may specialize. The key is being explicit about what you expect.

🏠 Bucket 1: Listing Coordination

Everything that happens from the moment you sign a listing agreement to the moment the property goes live — and the marketing that follows.

✅ Preparing Comparative Market Analyses (CMAs) and listing presentations

✅ Ordering signs, lockboxes, and scheduling photographers/videographers

✅ Uploading listings to MLS/IDX and ensuring accuracy

✅ Creating 'Coming Soon' campaigns and social media announcements

✅ Coordinating staging consultations and pre-listing inspections

✅ Preparing feature sheets, brochures, and print materials

✅ Managing listing feedback and seller communication updates

📁 Bucket 2: Transaction Coordination

The "Contract to Close" period. This is the most process-driven part of the role and where having an admin makes the biggest immediate difference.

✅ Managing conditional timelines — inspections, financing, appraisals

✅ Tracking deposits and ensuring they're submitted on time

✅ Coordinating with lawyers, mortgage brokers, and the co-operating agent

✅ Ensuring all documents are signed, filed, and compliant with brokerage standards

✅ Scheduling the final walkthrough and confirming closing details

✅ Preparing closing gifts and post-close follow-up sequences

✅ Maintaining the transaction file for audit compliance

📣 Bucket 3: Database & Marketing

This is often the most neglected area — and the one with the highest long-term ROI. An admin who keeps your database clean and your marketing consistent is worth their weight in gold.

✅ Maintaining and updating your CRM — adding new contacts, tagging, segmenting

✅ Sending 'Just Listed' and 'Just Sold' mailers and social posts

✅ Scheduling social media content and managing your content calendar

✅ Preparing and sending monthly newsletters and market reports

✅ Managing email drip campaigns and automated follow-up sequences

✅ Updating your website, IDX, and landing pages

✅ Tracking marketing campaign performance and reporting results

🔑 Key Takeaway

Don't hire someone and then figure out what they'll do. Define the role first, prioritize the buckets based on your biggest pain points, and write a job description that leaves no room for guesswork. Clear expectations from day one set everyone up for success.
