Your admin is only as effective as the tools they have access to. Set them up with the right tech stack from Day 1 and invest time in training them on each platform. The tools should make their job easier, not harder.

🛠️ The Core Tech Stack

Every real estate admin should be proficient in these categories of tools. You don't need all of them — but you need at least one in each category.

📊 CRM (Customer Relationship Management)

The nerve centre of your business. Your admin should live in your CRM — updating contacts, managing pipelines, running reports, and triggering automations.

🔹 Follow Up Boss — built specifically for real estate teams. Great for lead routing, follow-up reminders, and integrations.

🔹 BoldTrail (formerly kvCORE) — powerful all-in-one platform from Inside Real Estate. CRM, website, lead gen, and marketing in one.

🔹 HubSpot — free tier is excellent for small teams. Best-in-class for email marketing and automation workflows.

🔹 LionDesk — affordable, simple, and popular with solo agents. Good video email features.

📁 Transaction Management

Keeps every deal organized from contract to close. Your admin will use this daily to track deadlines, upload documents, and coordinate with all parties.

🔹 Dotloop — e-signatures, document storage, and transaction checklists in one platform.

🔹 DocuSign + separate file system — if your brokerage uses DocuSign, pair it with Google Drive or Dropbox for file management.

🔹 SkySlope — popular with larger brokerages for compliance and audit trails.

🔹 Brokerage-provided platforms — many brokerages (like RE/MAX) offer proprietary transaction management tools.

🎨 Design & Marketing

Your admin will be creating social media graphics, flyers, feature sheets, and marketing materials. They don't need to be a designer — they need user-friendly tools.

🔹 Canva — the go-to for non-designers. Templates for everything from Instagram posts to postcards. Canva Pro is worth the investment.

🔹 Adobe Express — similar to Canva, with Adobe's design heritage. Free tier is solid.

🔹 Mailchimp / Constant Contact — for email newsletters and drip campaigns.

🔹 Later / Buffer / Hootsuite — for scheduling and managing social media posts across platforms.

💬 Communication & Collaboration

Keep your daily communication organized and out of your text messages.

🔹 Slack — dedicated channels for different topics (transactions, marketing, urgent). Free for small teams.

🔹 Google Workspace — Gmail, Drive, Calendar, and Docs. The standard for most small businesses.

🔹 Loom — record quick screen-share videos for training, feedback, or explaining tasks. Game-changer for async communication.

🔹 Trello / Asana / Monday.com — visual task management to track daily, weekly, and project-based work.

🏠 MLS & Listing Tools

Depending on licensing, your admin may need access to MLS and related listing tools.

🔹 Your local MLS system — for uploading listings, running searches, and pulling comparable data.

🔹 ShowingTime / BrokerBay — for managing showing requests and scheduling.

🔹 Your brokerage's IDX website — for managing property displays on your personal site.

🔹 RPR (Realtors Property Resource) — for property data, neighbourhood reports, and CMA preparation.

🔑 Key Takeaway

Don't overwhelm your admin with 15 tools on Day 1. Start with the CRM and transaction management system — those are the foundation. Add design and marketing tools in Week 2, and communication platforms as needed. Master the basics before adding complexity.
